Identification of archival digital records in business systems

Abstract

Considering the increasing use of business systems for the production and even storage of digital archival documents, the purpose of this article was to analyze standards, guidelines, and theoretical perspectives related to the identification of archival records in business systems for the benefit of record management. Faced with the initial question "what dialogues can be established between the discussion about identification and business systems that produce records?", it becomes pertinent to understand the differences between identifying, archival identifying, and the concept of a business system. This qualitative investigation was conducted through bibliographic research in Brazilian and foreign works that address archival identifying in business systems, from which influences of archival institutions' standards, i.e., national and international bodies, were noted. The results suggested that the design of business systems could benefit from the principles of archival identification for the recognition of archival documents in digital environments.

    Ph.D. candidate and Master in Information Science at PPGCI - UFF, with research titled "Identify-AI: artificial intelligence in the identification of documentary species," graduated in Archival Science from Fluminense Federal University, as well as in Information Systems from the same university. She has experience in software development, records management, archival classification, records appraisal, transfer, acquisition, indexing, file organization, and typological identification. Her research interests include the use of artificial intelligence and blockchain in archives, theories and methodologies of archival classification, records appraisal, and Diplomatics.

    Professor in the Department of Information Science at the Fluminense Federal University (UFF). She holds a Ph.D. in Information Science (2012) from the Graduate Program in Information Science at the School of Communications and Arts of the University of São Paulo (ECA-USP). Her thesis, titled Archival Science and the Construction of Its Scientific Object: Trajectories, Conceptions, and Contextualizations, won the II Maria Odila Fonseca Award, offered by the Brazilian Association of Archivists (AAB). She graduated in Archival Science (2015) from the Federal University of the State of Rio de Janeiro (UNIRIO). She holds a Master’s degree in Social History (2005) with a CAPES scholarship and a Bachelor's degree in Social Sciences (2001), both from the Pontifical Catholic University of São Paulo (PUC-SP). She is a professor in the Graduate Program in Information Science at Fluminense Federal University - PPGCI/UFF and has been part of the board of the São Paulo Association of Archivists (ARQ-SP) since 2008, holding the position of Vice-President since 2015. She has been the coordinator of the Undergraduate Archival Science Program since 06/2017 and Vice-Director of the Institute of Art and Social Communication since 01/2020. She is the author of the books The Construction of the Scientific Object in the Historical-Epistemological Trajectory of Archival Science (ARQSP, 2015) and Classification in Archives: Foundations and Practices (UFMG, 2024). Her research interests include archival classification, the history of archives and archival science, records management, and archival epistemology.
